PSY-004 - Psychology Department Manager - Psychology Department

Position Summary

The Department Manager will be responsible for managing a department with over 900 undergraduate majors, a doctoral program with 60 plus students, 18 full-time faculty, and 10-12 lecturers every year. The position has responsibility for knowing all the aspects of department life, anticipating actions that must be taken to operate efficiently and smoothly, and executing key functions essential to the department's carrying out its mission. To that end, this position will be responsible for establishing and managing systems to assist the smooth operation of the department, completing tasks necessary for departmental functions, and providing professional quality clerical and fiscal support to enable faculty to perform their work. This position will also assist the department chair and associate chair in maintaining an efficient, positive, welcoming environment for students, faculty and staff, and in fostering the professional development of supervisees.

 

Responsibilities

  • System Development and Implementation
    • Based on knowledge of all aspects of department life and functions, develop, implement and maintain administrative systems and processes to assist in achieving departmental goals.
  • Supervision
    • Oversee and coordinate the efforts of the Department Office Specialist and the Grant Development and Support Specialist. Develop a team environment through inclusion of supervisees in developing systems and improving department's operation.
  • Office Systems and Records
    • Prepare department budget, track expenses so as to enable decision making, and provide regular budget reports, including forecasting and monitoring of future budget needs.
  • Maintenance of all departmental records regarding a range of issues, including but not limited to committee and department meeting minutes; records regarding current graduate students/post docs; records regarding previous graduate students; and grant and departmental funding.
  • Manage forms and paperwork including but not limited to travel, invoices, journal vouchers, etc.
  • Graduate Admissions and Student Progress
    • Develop system for tracking student progress through the graduate program.
  • Oversee Office Specialist responsibilities regarding graduate student admissions and related correspondence.
  • Course Scheduling
    • Schedule graduate, undergraduate lectures/courses/seminars/labs. Includes working with part-time lecturers and graduate students on course schedules.
  • Research Administration Duties
    • With Grant Development and Support Specialist, increase probability of success in receiving & managing awards from federal funding sources such as NSF, DOE, NIH, etc. as well as other private funding sources. by properly managing awards, including
    • Assuring that PI spending is within provision of grant and allowable cost;
    • Encumbering costs, approving expenditures, establishing effective purchase order system, journal vouchers, end-of-fiscal year liquidations.
    • Assuring that changes to grant, for example, no-cost extensions, budget reallocations, etc., are properly initiated.
    • Assuring that projects are terminated in a timely manner.
    • Assisting with hiring post bacs, undergraduate & graduate students on grants.
  • General
    • Coordinate efforts to update Psychology Department website (including faculty only resources, teaching content and outreach/development)
    • Assist faculty in their administrative functions.
    • Collect annual faculty activity reports and collate into department yearly report.
    • Perform other job duties as needed.

 

Required Qualifications

  • Minimum 5 years experience in a general office environment.  Including evidence of:
    • experience in a complex environment and demonstrated ability to anticipate, manage
      and execute multiple functions, evolving systems to enhance smooth organizational functioning.
    • communicate information accurately both orally and in writing to
      assure that work gets done;
    • interpersonal skills that contribute to a positive environment and build
      cooperative relationships;
    •  organizational abilities that result in meeting deadlines, progressing simultaneously on
    multiple fronts and improving efficiency;
    • skill in budgeting, financial tracking and reporting;
    • capacity for teamwork;
    • supervisory skill and ability to develop employees.

Desirable Qualifications

  • Bachelor's Degree
  • Experience in a University or College setting   

Compensation

This position reports directly to the Department Chair.  Competitive salary commensurate on experience.  In addition, this position includes an excellent benefits package including fully paid healthcare, generous retirement and vacation packages, and reduced tuition rates at Oregon University System Institutions for the employee, spouse, or one dependent.
