Student Employee Policies

Student employment records are confidential and are covered under the Family Educational Rights and Privacy Act (FERPA).

Highlights from the Student Employee Handbook:

Student Work Hours and Overtime

"No student employee may work more than 40 hours in any one work week and no more than 130 hours per pay period. ... Under no circumstances does the FWSP program authorize or pay for overtime" (Handbook, pg 2).

If an FWSP employee works over 40 hours in one week, overtime will be charged 100% to the department.

Important Note: Federal law restricts international employees in the United States on an F-1 visa from working more than 20 hours per week while school is in session. During the annual vacation term and when school is not is session, these students may work full time. The annual vacation term is generally summer and an international student is considered to be 'on vacation' if enrolled for any fewer than 9 credits.

Student Eligibility for Work Study Positions

"Students awarded Federal Work-Study must be admitted and registered for six credit hours if undergraduates, or five credit hours if graduates during Fall, Winter and/or Spring terms" (Handbook, pg 3).

"Do not hire FWSP students without a Certificate of Eligibility. ... NOTE: Students may have their awards cancelled if they are not hired by the expiration date shown on the Certificate -- usually October 31st of each academic year" (Handbook, pg 4).

"Check RJASEAR each month before signing the time sheet to verify the award amount and balance left that the student may earn. All earnings over the FWSP award will be charged back to the employing department" (Handbook, pg 4).

Summer Term FWSP Employment

"Students with academic year awards may begin earning their FWSP awards on June 16th, whether enrolled for Summer term or not. ... Students working over the summer must have an accepted award for Fall term and are limited to earning the Fall portion of their award during the summer" (Handbook, pg 4).

Regular Wage Student Eligibility

"Students hired as regular wage student employees are required to register for six credit hours if undergraduate, or five credit hours if graduates" (Handbook, pg 4).

Acceptable Course Enrollment and Enrollment Deadline

"Only enrollment in PSU courses for degree credit can be considered for student employment enrollment requirements" (Handbook, pg 5).

Term Off

"Student employees are allowed one term per year in which they may work but do not need to meet the credit hour eligibility ... Summer term is the preferred term for FWSP employees. FWSP students who wish to work during a term in the regular school year while not enrolled must first get permission from the Director of Financial Aid. ... The term off may be granted by the employer only once per fiscal year" (Handbook, pg 5).

Position Descriptions Required

"Federal regulations require that position descriptions be prepared and filed for each job that FWSP students fill. Position descriptions for FWSP funded jobs must be filed annually with the Financial Aid Office at the beginning of the FWSP award year" (Handbook, pg 6).

Monitoring FWSP Student Earnings

"Employers are responsible for monitoring FWSP student earnings ... FWSP students may not have gross earnings exceeding the amount of their FWSP awards" (Handbook, pg 9).

If an FWSP employee's gross earnings exceed the amount of the FWSP award, the excess wages will be charged 100% to the department.
