Process for Student Employees: Hourly and Regular Stipend
1. Job Posting
Post your student positions on the Career
Center web site. Click HERE for
the employer login in for job postings. Contact the Career Center with
any questions you have with how to post student jobs at 503-725-4613.
2. Select your employee
Check that the person you would like to hire
meets the minimum requirements for enrollment (see the "How to" section
below). To qualify for student employment a student must be registered
at half time or greater for three of the four terms per year. For undergraduates
that means 6 credits per term; for graduates that means 5 credits per
term.
If you are hiring for a work study position,
check that the prospective employee has a letter verifying their financial
aid award.
If the perspective employee is an international
student then you will need to verify that they have been authorized to
work on campus. The student will have a letter of authorization from
the Office of International Affairs if they are allowed to work on campus.
3. On the First Day of Work
Hourly Employees: Complete and submit an
EPAF (Electronic Personnel Action Form) for an hourly employee (EPAF
User Guide
).
Regular Stipend Employees: Complete and submit
a Student Forecast Pay Form
if
this is a stipend position employee. The form
along with the Position Description
will
need to be routed to Student Affairs (OSA) for approval. They will send
it on to Human Resources for payment.
Ensure that the employee has completed the
New Employee Packet
including
the I-9 and W-4 with the Office of Human Resources. This MUST be done
on or before the first day of work to be in compliance with Federal and
State law.
How do I ...
... Check enrollment:
- In BANNER use the form SFAREGQ. "200501" is
Winter term; "200502" is Spring term; "200503" is
Summer term; "200504" is Fall term. Or,
- In the GQL Warehouse there is a query
to check enrollment.
... Check that the new hire has done all
the required paper work:
- In BANNER use the form PEAEMPL or PHZSNAP
to see if the person has been set up as an employee in the system. Or,
- Call the Human Resources Student Payroll
